Job Description

Position and Responsibilities 
Main Activities in the Head Quarter:

  • Managing of front desk and switch board of our city offices
  • Incoming / outgoing mail
  • Preparation of meetings and organization of the meeting room
  • Maintain infrastructure/facilities of city offices (coffee, soft drinks, groceries, etc.) and liaise with Facility Department and building infrastructure responsible in case of problems (heating, air conditioning etc).
  • Responsible for parking visitor parking cards
  • Responsible for office supplies for our city offices
  • Support of board meeting preparations (organize catering, provide infrastructure etc.)
  • General administrative support for various departments
  • General correspondence in German and English
  • Support of event organization (trade fairs, customer and company events)
  • Support of Newsletter distributions
  • Support of Marketing (marketing material organisation for events, preparation of company presentation USB-sticks, etc).
  • Various smaller purchases

Main Activities at the Hangar Facilities:

  • Providing help and advice to customers using your organization’s products or services
  • Communicating courteously with customers by telephone, email, letter and face to face
  • Taking care of customer offices (organizing cleaning staff, looking for the buffet with fruits and sweeties)
  • Management and supervision of lunch meetings (ordering, serve, clear away, etc.)
  • Operating the switchboard
  • Welcoming and taking care of customers, suppliers and other visitors
  • Administration and organisation of meeting rooms (reservations, cleanliness etc.)
  • Organisation of hotel accommodation and car rental for customers including invoice verification
  • General administrative tasks

Required Skills and Qualifications

  • Commercial education or several years of commercial professional experience
  • First experience with Abacus an advantage
  • Fluent in English and German (spoken and written), French would be an advantage
  • Good working knowledge of MS Office applications
  • Knowledge of creditors accounting an advantage
  • Open, communicative, flexible and service-oriented personality
  • Representative appearance and discretion
